1.Your school owns its data
Everything your school puts into Skula belongs to your school. We use it only to provide and improve the service, keep it secure and back it up. We do not sell it.
2.Each school's records are kept apart
Every school has its own separate section of the database. Staff of one school cannot reach another school's records — the separation is applied by the system on every request, not by a setting that someone could switch off.
3.Staff see what their role needs
A teacher works with their classes, an accountant with fees, a receptionist with the front desk. The head can widen or narrow any staff member's access, module by module.
Parents see only their own children. Pupils see only themselves.
4.A record of who changed what
Fee payments, reversed payments and changes to pupil records are written to an audit log with the person and the time, so a missing payment can always be traced.
5.Sign-in protection
Passwords are stored scrambled (hashed), never as plain text — not even we can read them. After five wrong passwords an account locks for 15 minutes, which stops anyone guessing their way in.
6.Birth certificates and medical notes
Documents attached to a pupil's file — birth certificates, health insurance cards, medical and allergy notes — are opened only by staff who work with that child, through a link that checks who is asking every time it is used. They have no web address that could be forwarded or shared.
7.Your SMS, WhatsApp and payment connections
The keys that connect your school's SMS sender, WhatsApp number, email and payment gateway are stored encrypted, and are never shown back in full on screen.
8.If your school leaves Skula
Ask us in writing. We give you a complete export: every record as a spreadsheet you can open in Excel, and every file your school uploaded.
Once you confirm you have received it, we delete your school's records and files from Skula and send you a written confirmation. Invoices for your Skula subscription are kept for our tax records.
